Organizational Context
The United Nations Industrial Development Organization (UNIDO) is the specialized agency of the United Nations that promotes industrial development for poverty reduction, inclusive globalization and environmental sustainability. The mission of UNIDO, as described in the Lima Declaration adopted at the fifteenth session of the UNIDO General Conference in 2013 as well as the Abu Dhabi Declaration adopted at the eighteenth session of UNIDO General Conference in 2019, is to promote and accelerate inclusive and sustainable industrial development (ISID) in Member States. The relevance of ISID as an integrated approach to all three pillars of sustainable development is recognized by the 2030 Agenda for Sustainable Development and the related Sustainable Development Goals (SDGs), which will frame United Nations and country efforts towards sustainable development. UNIDO’s mandate is fully recognized in SDG-9, which calls to “Build resilient infrastructure, promote inclusive and sustainable industrialization and foster innovation”. The relevance of ISID, however, applies in greater or lesser extent to all SDGs. Accordingly, the Organization’s programmatic focus is structured in four strategic priorities: Creating shared prosperity; Advancing economic competitiveness; Safeguarding the environment; and Strengthening knowledge and institutions.
Each of these programmatic fields of activity contains a number of individual programmes, which are implemented in a holistic manner to achieve effective outcomes and impacts through UNIDO’s four enabling functions: (i) technical cooperation; (ii) analytical and research functions and policy advisory services; (iii) normative functions and standards and quality-related activities; and (iv) convening and partnerships for knowledge transfer, networking and industrial cooperation. Such core functions are carried out in Divisions/Offices in its Headquarters, Regional Offices and Hubs and Country Offices.
The Field Offices are responsible for representing UNIDO in their countries/regions of coverage and for maintaining close relations with all relevant stakeholders. They are responsible for identifying development priorities and donors’ technical and funding priorities in the countries/regions of coverage, and for supporting, and/or leading when requested, the formulation, implementation and monitoring of technical cooperation projects and programmes, including the Programmes for Country Partnership (PCPs) and the Country Programmes (CPs). The Field Offices are also responsible for coordinating and reporting on UNIDO’s activities in their countries/region of coverage, and for leading/contributing to the development of regional strategies and policies to ensure the strategic and programmatic consistency of UNIDO’s work, including of its cooperation with and contributions to the United Nations Resident Coordinator Offices (UNRCs)/United Nations Country Teams (UNCTs)/Common Country Assessments (CCAs)/United Nations Sustainable Development Cooperation Frameworks (UNSDCFs).
At the G3 level the incumbent is expected to perform general support processes focusing on basic service delivery or information exchange within the organizational environment and team. His/her interventions result in the contained process impact.
The UNIDO Staff Performance Management System reinforces the collaboration within formal units as well as among cross-functional teams. In this context, the incumbent collaborates with his/her supervisor and colleagues, within as well as outside the unit. Within the formal teams, the incumbent may be expected to backstop other team members as required.
FUNCTIONAL RESPONSIBILITIES
Under the supervision of the First Reporting Officer, the Team Assistant/Driver is responsible for the following key functions:
- Maintain the supervisor’s daily schedule of appointments. Handle correspondence and routine communication tasks, including receiving and recording incoming/outgoing mail, visa application for official travel, tracking pending matters and deadlines, and flagging urgent items for the supervisor.
- Draft routine correspondence in line with established guidelines and the UNIDO Correspondence Manual.
- Act as the focal point for office space management. Maintain and oversee the allocation of office space in coordination with team needs, repair maintenance, and organizational priorities. Coordinate all internal office moves, including the arrangement of furniture and equipment for staff members.
- Carry out a range of general administrative duties, including overseeing communications via the official UNIDO South Cone email account, vendor management, procurement-related processes, monitoring and following up on payments.
- Provide support to asset management by performing asset and inventory physical verification.
- Act as the focal point for security matters, ensuring that all personnel and office space comply with security and safety regulations.
- Drive the UNIDO official vehicle(s) to provide the transportation of UNIDO office staff and other authorized persons in a timely, safe, and courteous manner, as well as of other high-ranking officials, as and when required.
- Meet official personnel at the airport and facilitate immigration and customs formalities.
- Deliver and collect official mail and other documents as required, ensuring that all deliveries and collections are made on time.
- Ensure the regular professional service and maintenance of UNIDO-assigned vehicle(s), including the coordination of professional mechanical inspections and repairs, maintaining the vehicle(s) in a clean and roadworthy condition at all times, and ensuring that oil levels, coolant, battery, brakes, and tires comply with authorized safety standards. Accurately log all official travel, daily mileage, and fuel or electricity consumption, and ensure timely follow-up on all vehicle-related services.
- Maintain a high level of accuracy and confidentiality in performing the driving, clerical, and logistical support services to the UR and UNIDO high-level authorities.
- Immediately report incidents, accidents, or concerns concerning the safety of the vehicle and ensure that the steps required by applicable rules and regulations are taken.
- Carry out clerical and administrative ad-hoc assignments as requested.
MINIMUM REQUIREMENTS AND DESIRABLE CRITERIA
Education: Completed secondary education or equivalent and a valid driver's licence is required.
Required Qualifications:
- A minimum of three (3) years of work experience as a driver and office procedures and practices.
- Knowledge of national traffic laws, rules, and regulations, with a good safe driving record.
- Proficiency in using Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and internet tools.
Desirable Qualifications:
- Experience driving high-ranking United Nations officials, staff members, and/or diplomatic personnel.
- Experience within the UN system or in a multicultural environment.
- Experience providing support to managerial/professional staff using administrative skills.
- Experience with SAP or similar ERP software.
- Knowledge of social media platforms and artificial intelligence tools is desirable.
- Experience with facilitating official visits and engagements with high-level officials is desirable.
- Experience in overseeing and coordinating security-related matters is desirable.
Languages: Fluency in written and spoken Spanish and English is required.
